How does drawing meetings on Zoom and Microsoft Teams work?

Did you know that as a live illustrator I can join your Zoom meeting or Microsoft Teams event, inject some juicy live visuals and capture your discussions in real time?

We’ve all sat through those online meetings and conferences that blur into one with a sea of faces. But it doesn’t have to be that way! You can let live illustration do the heavy lifting, making keynotes and presentations more impactful, engaging and memorable.

This process is often called graphic recording or live scribing, and it’s a powerful way to bring conversations to life, even when everyone is working remotely or dialling in from across timezones.

With more organisations embracing remote work and collaborating across international teams, Zoom and Teams have become a core part of business communication. Adding a live illustrator to your online meetings can transform the experience from flat and forgettable into dynamic, visual and memorable.

Online meetings can sometimes feel like a juggling act with screens being shared, different speakers popping up, and more boxes on the screen than you can count. It’s no wonder it’s tricky to stay fully tuned in. That’s where live illustration saves the day! While you focus on the conversation, I capture the big ideas in bright, engaging visuals that bring energy and a sense of fun to your meeting.

How it works: Live Illustration on Zoom or Teams

1.Joining Your Meeting

I join your Zoom or Teams call as a participant just like any other guest. This means I can listen, observe and start drawing as your meeting unfolds. If you’re not using Zoom or Microsoft Teams, no problem, I can still join you! For other online platforms, I can live stream my drawing via screen share or use a separate streaming link that participants can watch alongside your event. That way, everyone can see the illustration unfolding in real time, no matter which platform you prefer.

2.Capturing the Conversation

Using my tablet and illustration software, I translate key points, themes, and ideas into real-time visuals. This includes images, words, and symbols that mirror your discussions in a clear and engaging way.

3.Sharing the Illustration Live

Depending on your preference, I can:

  • Share my screen so participants see the drawing appear live.

  • Work quietly in the background, then reveal the completed visual at the end.

  • And if you’d rather keep the drawing behind the scenes, I can simply listen in and then share the finished illustration with you afterwards.

Delivering the Final Artwork

After the session, you’ll receive high-resolution digital illustrations along with a time-lapse replay video of the drawings showing your ideas come to life. This can be shared with participants, included in follow-up emails, used as internal communications material and as whizzy social media content!

Perfect for remote and hybrid teams

Many organisations are working in hybrid or fully remote setups. Having a graphic recorder online bridges the gap between participants, giving everyone a shared, visual summary of the conversation.

International teams especially benefit from this: when multiple languages or time zones are involved, visuals act as a universal language that everyone can connect with.

Wow your guests

Imagine opening up the chat and seeing these comments from your audience:

“Amazing!!! Never followed something with such ease before!!!”

“Esther - these illustrations always amaze me!!! They’re 10/10”
